All commercial and food vendors must have their business license available onsite at the Vendor’s booth. No Vendor shall exhibit any merchandise or service not in accordance with the mission and values of Vegfest. All product displays, literature items, or other promotions must meet Vegfest food and/or non-food guidelines as described in item 4. All food products sold or offered must be vegan (those containing no animal products or ingredients of any kind). Non-food items should not be tested on animals, and should be free of animal derivatives such as leather, fur, silk, lanolin, gelatin, etc. If anything is in question, please contact us. Vendors shall be responsible for the setup, breakdown, and cleanup of their own exhibit. Vegfest will have volunteers to assist but we cannot guarantee each Vendor help with setup and teardown. Garbage and recycling containers will be provided; all garbage and recycling must be placed in the appropriate containers. Spaces not left clean, as determined by Vegfest, may result in the Vendor’s non-participation in future events. There is a Manchester Township vendor permit that all vendors (yes, we mean all, even nonprofits) will need to apply for. The fee is $25. Please apply for this permit soon after being approved as a vendor at Vegfest. We will send you instructions via email. We will remind all vendors closer to the event date, but it would be best to do this sooner than later. You will be issued a Vendor permit, from the township, in the mail shortly after you apply – be on the lookout for it! Booth setup will begin the day of the event (Saturday, September 21, 2019) at 8:30 am. Vendors should be ready for visitors promptly by 10:45 am. Vendors must have their booth staffed for the duration of the event. No booth should be left unattended. If you need a volunteer to help for a couple minutes, please let a volunteer know. Volunteers will be making rounds to vendors throughout the event. Vendors are free to attend presentations and contests, provided their table remains staffed in their absence. Vendors must vacate the premises by dusk on September 21, 2019. All Vendors must have a sign clearly identifying the name of their business or organization at their booth, as well as their township vendor permit. Vendor space shall not be shared or sublet without the permission of Vegfest. Vendors agree to make no claim for any reason against festival coordinators, Vegfest, or Cousler Park for loss, theft, damage, or destruction of goods, nor any injury to themselves, their employees or volunteers, or festival visitors incurred at the festival. Exhibitors agree to indemnify festival coordinators, Vegfest, and Cousler Park and hold them harmless for any liability arising out of the exhibitor’s participation in the festival. Vendors agree to accept full responsibility for any such loss, theft, damage, destruction of goods, or injury caused or experienced by the Vendor. Books and literature offered or sold may not promote the use of any animal-derived food or product. Should any contingency interrupt or prevent the holding of the event, Vegfest shall in no way be liable to the Vendor. Registration and rental fees cannot be refunded, as they are distributed prior to the event for insurance, facility/operating costs, supplies, and marketing promotion. Vegfest is a rain or shine festival. In the event of inclement weather, no rain date is scheduled. Vendor registration fees are not refundable as they are distributed prior to the event. Vendor space not occupied by the opening of Vegfest at 11:00 am on the day of the event will be considered a no-show, and the space will be deemed forfeited. This forfeited space may be resold, reassigned, or used by Vegfest without obligations for any refund whatsoever. The Vendor shall not (a) commit any nuisance; (b) cause any unusual smoke or odor to emanate from its space; (c) do anything which would interfere with the effectiveness of any utility of Vegfest, nor interfere with free access or passage to the facilities of Vegfest; (d) interfere with the effectiveness of accessibility to the electricity; (e) do or permit to be done any act which might invalidate any insurance policy carried by or for Cousler Park. Vegfest reserves the right to restrict vendor booths to a maximum noise level and to suitable methods of operation and display. Vegfest shall have the final decision as to what constitutes a proper exhibit and such decision shall be final and binding. If for any reason any exhibit or its contents are deemed objectionable by Vegfest, the exhibit may be moved or removed. This provision includes persons, things, conduct, printed materials, or any item or attire that Vegfest organizers may consider objectionable to Vegfest’s intent. Vegfest further reserves the right to relocate exhibits or exhibitors when such relocations are necessary to maintain the character and/or good order of Vegfest. Vegfest reserves the right to decline any application at its discretion. Agreement Verification* I have read, understand, and agree to abide by the “Harvest VegFest Vendor & Sponsor Agreement”.
